Summary:
Under the supervision of the Register of Deeds, the Records Clerk is a non-exempt position under FLSA.
To create and maintain accurate land records which entails recording numerous documents as set out by Kansas Statues pertaining to the Register of Deeds Office.
Reviewing and recording legal documents.
To assist the general public with genealogy, school records, military discharges, accessing land ownership records including but not limited to deeds, mortgages, easements and liens.
Must maintain knowledge of computers, software applications, and communication and public relations skills.
Accuracy and efficiency are essential.
Essential Functions:
Perform all transactions dealing with real estate records for recording, retrieval and indexing.
Update records and indexes, which show the correct ownership, legal descriptions and other pertinent data on all property in County without visual guidance.
Verify incoming documents for recording for items such as names, legal descriptions, signatures, notary stamps/seals, and correct fees.
Advise customers of errors by personally addressing them when they are in the office or moving the document through the rejection process.
Ensure accurate recording transactions have been made.
Verify data entered and update data to reflect required corrections.
Checks scanned documents for accuracy and perform required process to return to customer.
Respond to customer inquiries from various outside entities, including but not limited to attorneys, abstractors, Internal Revenue Service, county offices, banks, realtors and the general public.
Must be able to communicate and interpret many diverse questions dealing with legal descriptions and ownership without visual guidance.
Analyze special information requests which require the use of Geographical Information Systems (GIS) website, access and interpret information and provide information to customer without visual guidance.

EDUCATION/TRAINING/
Experience:
A high school diploma, GED, or equivalent is required.
Three years of similar or related experience is preferred.
Must be able to work with public and maintain composure at all times.
Experience working with land records and legal descriptions preferred.
Knowledge and experience with computer data entry using Microsoft Office programs necessary.
Employee is expected to acquire the necessary information and skills to perform the essential job functions reasonably well, without visual guidance, within six months from the date of employment Must have and maintain a clean driving record for this position.
A clean record is defined as:
No misdemeanor or felony convictions for traffic/vehicular offenses (such as but not limited to DUI, vehicular homicide, reckless driving, hit and run, etc.
) that are less than five (5) years old; no more than two (2) at fault or chargeable accidents that are less than five (5) years old; no more than two (2) traffic infractions (such as but not limited to speeding, failure to yield right of way, etc.
) that are less than one year old.
